How to add, use, and remove the IEPioneer app for Zoom, which runs teletherapy sessions and turns them into draft clinical documentation.
Overview Prerequisites Adding the app Using the app Permissions Session data Removing the app Troubleshooting FAQ Support
IEPioneer helps special-education therapists run teletherapy sessions over Zoom and turn each session into a draft clinical note with progress data mapped to the student’s IEP goals. With Zoom connected, IEPioneer:
The therapist is always in the loop: the AI produces a draft, and a qualified staff member reviews and approves it before it becomes part of a student’s record.
You can also start from the Zoom App Marketplace: find IEPioneer and choose to add it, and you’ll be taken to IEPioneer’s Integrations page to finish connecting.
Having trouble connecting? See Troubleshooting.
When you schedule a session, choose Zoom as the modality. (If Zoom isn’t connected, the option reads “Zoom — connect in Settings”.) IEPioneer creates a Zoom meeting on your account with automatic cloud recording turned on, so you never have to remember to press Record. Meeting titles are generic and never include a student’s name.
Rescheduling a session moves its Zoom meeting to the new time. Cancelling a session deletes its Zoom meeting.
Open the session in IEPioneer and click Join Zoom Meeting. The meeting opens inside IEPioneer with you as the host; other participants join with the meeting link as usual. Recording starts automatically.
Click End Session. IEPioneer ends the Zoom meeting for everyone, which also tells Zoom to finish processing the recording. The session shows Processing recording… while IEPioneer waits for it.
Once Zoom has processed the recording, IEPioneer retrieves its audio — usually within a few minutes — transcribes it, and drafts a session note with progress toward the student’s IEP goals. You review, edit, and approve the note; nothing becomes part of the student’s record until you do. If no recording arrives within about 30 minutes, IEPioneer notifies you so you can upload audio or write the note manually.
As soon as IEPioneer has safely stored a session’s audio, it permanently deletes that meeting’s cloud recording from your Zoom account — video, audio, and any other recording files for that meeting — so therapy audio is kept only in IEPioneer. Zoom cloud recordings of IEPioneer sessions are therefore not kept in your Zoom account. IEPioneer only ever retrieves or deletes recordings of meetings it created; your other Zoom recordings are untouched.
IEPioneer asks Zoom only for the access these features need, and acts only on the connected user’s own account.
| Zoom permission (scope) | What IEPioneer uses it for |
|---|---|
meeting:write:meeting | Create the Zoom meeting when you schedule a session. |
meeting:update:meeting | Move the meeting when you reschedule the session. |
meeting:delete:meeting | Delete the meeting when you cancel the session. |
meeting:update:status | End the meeting when you click End Session. |
user:read:zak | Let you start and host the meeting from inside IEPioneer. |
user:read:user | Identify the connected Zoom account, so that if you remove the app from Zoom, IEPioneer can find and delete that connection. |
cloud_recording:read:list_recording_files | Check whether a session’s recording is ready. |
cloud_recording:read:list_user_recordings | Periodically look for recordings of IEPioneer-created meetings that are still missing, so a delayed recording isn’t lost. |
cloud_recording:read:recording | Download the session recording’s audio. |
cloud_recording:delete:meeting_recording | Permanently delete the recording from Zoom once IEPioneer has stored it. |

You can remove the integration from either side.
Open Settings → Integrations, and on the Zoom card click Disconnect. IEPioneer revokes its authorization with Zoom and deletes its stored Zoom credentials.
Sign in to the Zoom App Marketplace, click Manage, choose Added Apps, find IEPioneer, and click Remove. Zoom notifies IEPioneer, which then deletes its stored Zoom credentials.
Zoom isn’t connected for your account. Connect it under Settings → Integrations (see Adding the app).
If your Zoom account is managed by your organization, ask your Zoom administrator to approve IEPioneer in the Zoom App Marketplace, then try again. Make sure you are signed in to IEPioneer with a staff account. If connecting still fails, contact support.
Disconnect and reconnect Zoom under Settings → Integrations, then try again in a current desktop browser with camera and microphone access allowed.
This is expected: IEPioneer permanently deletes a session’s Zoom recording once it has stored the audio. See Recording removal from Zoom.
IEPioneer only acts on meetings it created for your sessions. To find a delayed recording it may list the recordings on your account, but it only downloads or deletes recordings of IEPioneer-created meetings.
No. Only the therapist hosting the session connects Zoom. Other participants join with the meeting link.
No. You sign in on Zoom’s own page, and Zoom gives IEPioneer a limited access credential that you can revoke at any time.
